Overview

Invitations let team admins and owners bring new people into a team and grant them access to specific workspaces — all in a single step.

Sending an Invitation

  1. Open your team settings or click Invite from the team page.
  2. Enter the person’s email address.
  3. Choose a team role:
    • Member — Can view and edit assigned workspaces.
    • Admin — Full access to team settings and billing.
  4. Select which workspaces to grant access to:
    • All Workspaces — Grants access to every workspace in the team.
    • Select Specific — Choose individual workspaces.
  5. For each workspace, pick a workspace role (Admin, Editor, or Viewer).
  6. Click Send Invite.
The invitee receives an email with a join link. The link expires after 7 days.
If the email service is unavailable, the invite is still created. Copy the invite link from the success screen and share it directly.

Accepting an Invitation

  1. Click the join link in the invitation email.
  2. Sign in or create a Whim account (the account email must match the invitation email).
  3. You’re automatically added to the team and all specified workspaces with the assigned roles.

Pending Invitations

Team admins and owners can view all outstanding invitations from the team settings page. Each pending invite shows:
  • Recipient email address
  • Assigned team role
  • Workspaces included and their roles
  • When the invite was sent
  • When it expires
Expired invitations are automatically cleaned up when a new invite is sent to the same email.

Canceling an Invitation

Team admins and owners can cancel a pending invitation at any time:
  1. Go to your team settings.
  2. Find the invitation in the pending invites list.
  3. Click Cancel to revoke it.
Once canceled, the join link no longer works. You can send a new invitation to the same email if needed.

Team vs. Workspace Access

Invitations always operate at the team level — the invitee joins the team first, then receives access to the specified workspaces. There is no way to invite someone to a workspace without also adding them to the team.
